People want to do lots of work. But they are stuck due to lack of time. They keep on delaying the things to next day. I work with lots of clients and I have found that people are not able to get their desired result solely due to not being able to complete the assigned work. But on contrary there are people who produce great results for their personal and professional life.

God has given only 24 hrs in a day to each one of us. Do you ever think how some produce great results within the same time and others are struggling?
In today’s article I am going to share with you a detailed plan following which you can start producing great results in your business immediately. To get what this strategy is read through this article till end and implement it in each aspect of your life.

The key to bumper productivity is the self-awareness and self-management.
People get confused with time management. You cannot manage your time. The clock is always moving, and you cannot control it. But you can manage yourself. If you want to manage yourself you need to be self-aware first. You must know how you spend your time? Where do you spend time? Are you spending your time in planned manner or you are only handling crisis all the time? Are you doing important things in life like exercise, planning and relationship building etc or you are stuck only doing what the life has thrown on your table?
If you observe closely you will find that all your activities can be categorized into one of the four quadrants as depicted in the picture below.
As a first step toward managing yourself better and getting higher productivity from yourself you must be analyse in which quadrant you are mostly working. Which quadrant consumes you time. My experience has been that most average people are spending their 70 to 80{2facf265810d5c64deca339a00197305ceb917dadef902f2426694cb75f36e2b} time in Quadrant 1 only, i.e. they are just managing crisis! Crisis managing is incredibly stressful and you will not be able to do important work of life building. If you are stuck only with Q1 activities then soon you will burn out, you will start stagnating in life. For growth and success in life you must spend your 60{2facf265810d5c64deca339a00197305ceb917dadef902f2426694cb75f36e2b} time in Q2 activities. The Q2 activities are forward looking. These activities are going to give a great sense of satisfaction. You need to minimize the Q3 activities which are somebody else priorities. And you must eliminate the Q4 activities. Q4 activities are the time wasters.
To make our organizations more and more productive we must create a culture of planning and doing today’s work today. If everyone in the organization is committed to completing today’s work today, then growth of the organization is bound to happen. The culture of Todays work Today (TWT) can only emerge if everyone self-aware and knows what they are doing.
Is the task that they are performing connected to their goal?
Can the task at hand be delegated or deferred?
Can the task be completed eliminated?
It is important to know what to do, but it is equally important is to know what not to do?
Given below are steps which will help an organization to create the culture of Today’s work Today – TWT.
1. Share with the top leadership why TWT it is needed, emphasize that it is a cultural change, and everyone must join hands for making this cultural change a great success.
2. Create and implement the “awareness and communication” displays across the organization
3. Create and implement rewards and penalties for acceptable and unacceptable behaviour
4. Create contests and recognition events
5. Track the progress, review, and communicate
6. Indicators like MOM completion on time and task completion on time must be measured and communicated.
7. Every MC leader and other identified leaders to create daily / Weekly and monthly plan. Subsequently it must percolate down gradually to all levels in the organization
8. Nominate a cultural change agent in each department who will work as role model and will guide other for implementing TWT norms.
9. Plan and Create calendar as per following structure
a. Write down your role/purpose in the business and your key results
b. Write down all the activities to be done during the month – create a wheel of time including all activities
c. Include all activities like, Customer visit/ interaction, Team reviews and discussion, IDMs, Thinking time, Miscellaneous time, Crisis time etc
d. Plan your key performance drivers during and plan for routine activities
e. Plan what you must delegate to other team members and what can be eliminated (Q4) from the work routine.
f. Salespeople to plan maximum time for customer interaction on face to face meeting and other type of interaction (phone/ zoom etc)
g. Fix up time for field visit days.
h. Plan time for Important but not urgent activities (Q2) activities
i. Plan for boss / MD review time
j. During the day, keep one hr vacant after every three hrs of working.
k. Plan for personal daily review in the evening a nd plan for next day
10. Circulate your calendar to all concerned
11. Create tracker for adherence of time routine and deviations (target for zero deviation)
12. Seniors to Respect the time schedule and calendar of junior’s team members.
13. Everyone to commit timelines very judiciously after analyzing the time required for task delivery and adhered to committed time.
14. Violation to time commitment must be taken seriously and to be treated as organizational offence. Procrastination is thief of time. Do not accept delayed results.
15. Juniors must learn to say NO politely and firmly and must speak up in case they have some other priority task at hand before accepting any new task
16. Minimize the number of meetings held in the business. Have meeting only with predefined agenda. Strictly Follow meeting norms.
17. Spend time on standardization by creating documents for processes and work instructions.
18. Create a “company business process manual” as per ISO standard for standardization of work to avoid any duplication of work.
